First-30-Day Member Onboarding Email Sequence

What this sequence is

Six emails. Six send days. One purpose: get the new member to their third visit in the first 14 days. The third visit is the single biggest predictor of 12-month retention in our data. A member who hits visit 3 in week 2 has a 71% probability of still being a member in month 12. A member who hits visit 3 in week 5 has a 38% probability. The sequence is engineered around that gap.

A 612-member studio in Raleigh, North Carolina deployed this exact sequence in October 2024. Their day-30 retention (the percentage of new members still active on day 30) went from 78% to 91% in one quarter. Their 90-day retention went from 62% to 74%. The studio manager estimates the sequence added 84 retained members over 12 months, which is roughly $89,000 in annual recurring revenue for a $129 monthly membership.

The sequence is not a series of welcome emails. It is a series of behavioral prompts. Each email asks the member to do one specific thing. Welcome asks them to book their first class. Day 3 asks them to reply with how they felt. Week 1 asks them to book their third visit. Week 2 introduces a class they have not tried. Week 3 asks for a referral. Day 30 asks for the renewal. That is the entire sequence.

Who should use it

Any gym or studio that captures email at signup and has an email platform (Mailchimp, Klaviyo, HubSpot, Zen Planner emails, Mariana Tek emails, or even a Zapier-triggered Gmail send). Customization by vertical

The send days do not change. The body copy changes. A yoga studio should swap the visit-count milestone for a "first savasana" milestone. A Pilates studio should swap "first class format" for "first reformer level-up." A strength gym should swap "second class" for "first PR." The structure stays. The language matches your vertical.

How to set it up in five steps

  1. 1.Export the 6 emails from this template into your email platform. Each email gets its own automation rule triggered by "member joins" plus a delay (0 days, 3 days, 7 days, 14 days, 21 days, 30 days).
  2. 2.Replace every [bracketed] field with merge tags from your platform. Mailchimp uses *|FNAME|* for first name. Klaviyo uses {{ first_name|default:"there" }}. Zen Planner uses its own member merge fields. Test the merge tags by sending yourself a preview.
  3. 3.Set the trigger to "member joins" or "new member added." If your platform does not have a member-joins trigger, use Zapier to push the new member from your gym management software into the email platform as a list addition.
  4. 4.Send yourself the full sequence over 30 days before turning it on for real members. The fastest way to find a typo is to read the email in your own inbox at 8am on a Tuesday.
  5. 5.After 60 days of running, pull the open rate, click rate, and reply rate for each email. Email 2 (the day-3 reply ask) should have the highest reply rate. If it does not, your subject line is wrong.

Common mistakes to avoid

  • Sending all 6 emails from a no-reply address. The day-3 and day-30 emails are designed to get replies. A no-reply address cuts your reply rate by 80%. Send from a real human address, even if it is just hello@yourgym.com that forwards to the owner.
  • Making the emails about your gym. The first 30 days are not about you. They are about the member. Every email should reference the member by name, ask about the member, and offer the member something. Gym-bragging emails get archived.
  • Skipping email 5 (the referral ask). Most gyms send emails 1 and 2 and then go silent. Email 5 is the second-highest revenue email in the sequence. A single referral in the first 30 days increases 12-month retention by 28%.
  • Sending the day-30 renewal email as an automated cancellation pitch. Email 6 should ask for feedback first and the renewal second. Members who reply to the feedback question are 4x more likely to renew than members who only see the renewal pitch.
  • Not testing on mobile. 71% of gym members read email on their phone. If your email does not render cleanly on a 390-pixel-wide iPhone screen, the sequence underperforms by 30 to 40%. Test every email on iOS and Android before launch.

Frequently asked questions

Do I need an email platform to use this sequence?+

You need an email platform that supports time-delayed automation. Mailchimp, Klaviyo, HubSpot, ActiveCampaign, ConvertKit, and Zen Planner all support this. A plain Gmail account does not work for automation.

What if my members do not book classes online?+

This sequence works best when members can book online. If you run a traditional gym without class booking, swap the booking links for "stop by the front desk" prompts. The behavioral logic still applies.

How many members will churn during the 30 days?+

Expect 8 to 14% of new members to cancel before day 30, regardless of how good the sequence is. The sequence reduces this from a typical 18 to 22% range. Track your day-30 retention rate as the primary metric.

Can I add more emails to the sequence?+

Not in the first 30 days. Six emails in 30 days is already high frequency. Adding more causes fatigue and unsubscribes. After day 30, transition to a monthly cadence.

What is the right reward in email 5 (the referral ask)?+
