What this calendar is
A 52-week marketing calendar with monthly themes, weekly content prompts, and the four holiday windows that drive 38% of annual gym signups (New Year, Spring Break, Summer Shape-Up, Back-to-School). Most gym owners run marketing as a series of one-off campaigns triggered by panic. This calendar turns that into a system. You sit down on the first Monday of every month, look at the theme and the four weekly prompts, and you have your content plan done in 45 minutes.
A 600-member independent gym in Columbus, Ohio used this calendar in 2024 and grew membership from 540 to 712 in 12 months. The owner attributes 60% of that growth to the September Back-to-School campaign and 25% to the January New Year campaign. The other 15% came from organic search and FITT Finder referrals. The calendar gave them a framework. The framework gave them consistency. The consistency gave them results.
Most gym marketing calendars you find online are blank grids. A blank grid is not a calendar. A calendar tells you what to post, when to post it, and why. This one does. Every weekly prompt has a topic, a channel, a hook, and a call to action. You fill in the photos and the gym-specific details.
Who should use it
Independent gym and studio owners who handle their own marketing or have one part-time marketer. This works for any concept under 1,500 members. If you have a dedicated marketing team, you do not need this. You need a content operations platform like Asana or Monday. This calendar is for the owner who is also the head of marketing, head of sales, and head of customer service.

How to set it up in four steps
- 1.Copy the Google Sheet into your own Drive. Spend 30 minutes reading every monthly theme and weekly prompt. Mark any prompt that does not fit your gym (for example, delete the outdoor bootcamp if you are a pure reformer Pilates studio).
- 2.Pick one person on your team to own the calendar. Marketing only happens when one person is accountable. If three people "share" the calendar, no one owns it. The owner should be the owner for the first 90 days. Then hand it off.
- 3.Batch content monthly. Sit down on the last Friday of every month and produce all of next month's content in one 4-hour block. Schedule everything in your social scheduler (Later, Buffer, Sprout). The following month you only have to engage and post in real time.
- 4.Review metrics on the first Monday of every month. Pull signups, retention, revenue, and engagement. Compare to last month and last year. Adjust the next month's calendar based on what worked. Do not adjust the entire year based on one month. Adjust one month at a time.
Common mistakes to avoid
- Treating January as your only big month. January drives 22 to 28% of annual signups for most gyms. September drives 12 to 16%. Treating September like an ordinary month leaves $40,000 to $80,000 on the table for a 500-member gym.
- Skipping the slow summer months. June and July are slow for new signups, but they are the right time to run retention campaigns, member appreciation events, and referral pushes. Slow months build the runway for the busy months.
- Running the same promotion every month. A permanent 20% discount stops being a promotion after 60 days. It becomes your pricing. Members stop responding. Rotate 4 to 6 promotions across the year and never run the same one two months in a row.
- Forgetting to schedule rest. The calendar has 52 weeks of prompts. You do not have to post 52 weeks. Schedule 2 weeks off in summer and 1 week off in December. A burned out marketer produces worse content than no content.
- Not connecting the calendar to your FITT Finder listing. Every campaign should drive traffic somewhere. Half the time, that somewhere should be your FITT Finder profile. Your listing should have current photos, current pricing, and current promotions every time a campaign runs.
How this connects to your FITT Finder listing
Each monthly campaign should mention your FITT Finder listing at least once. New members who find you through FITT Finder convert 18% better than members from paid social, because they arrived with intent. Run the campaign, send the traffic to your FITT Finder profile, and let the listing do the selling.

Frequently asked questions
How far in advance should I plan my gym marketing calendar?+
Plan the full 12 months at the start of the year, but only commit to monthly content 30 days in advance. Annual planning prevents missing big windows. Monthly execution prevents stale content.
What if I cannot afford paid ads in January?+
January does not require paid ads. Organic reach is 2 to 3x higher in January than any other month. Focus on email, Instagram, member referrals, and FITT Finder optimization. Paid ads become important in slower months like March and July.
Should I run a challenge in January and another in September?+
Yes. Two 6-week challenges per year (January and September) is the right cadence for most independent gyms. A third challenge in the summer tends to cannibalize the September one.
How much should I budget for marketing per month?+
5 to 8% of gross revenue for independent gyms. In January, push to 10 to 12%. In June and July, you can drop to 3 to 4%. Total annual marketing spend should land around 6 to 8% of revenue.
Do I need a separate calendar for each location?+
For the first 2 locations, one calendar works. At 3+ locations, you need a separate calendar per location because the staff, the local partnerships, and the school district calendars differ.
