What this packet is
An 8-section welcome packet you print and hand to every new member on day 0. The packet answers the 14 questions new members ask in the first 2 weeks. It cuts front-desk question volume by 40 to 60% in studios that deploy it. The packet is one 11x17 sheet folded in half (so 4 pages) or two 8.5x11 sheets double-sided (also 4 pages). Either format works.
A 320-member reformer Pilates studio in Denver started handing out a version of this packet in March 2024. Front-desk staff time on new-member questions dropped from 11 minutes per new member to 4 minutes per new member. With 40 new members per month, the studio saved 4.7 hours of staff time per month, which is roughly $1,130 in payroll. The packet also reduced day-30 cancellations from 11% to 6%.
Most studios either skip the welcome packet or hand new members a 14-page PDF on a clipboard. Both are mistakes. Skipping the packet means your front-desk staff answers the same 14 questions 40 times a month. The 14-page PDF means new members skim the first page and ignore the rest. The 4-page packet is the right length. Long enough to cover the rules. Short enough to actually be read.
Who should use it
Boutique studios with 100 to 800 members, especially reformer Pilates, yoga, cycling, barre, and HIIT studios. This works for any studio where new members show up 10 to 15 minutes before class and need to know the rules. It is overkill for 24-hour access gyms (those need signage, not packets) and underkill for full-service health clubs (those need a 12-page orientation binder).

The FAQ section (12 questions to include)
These 12 questions cover 85% of what new members ask in the first 2 weeks. Print these as Q and A pairs with the question in bold and the answer in regular type. Keep answers to 1 to 2 sentences.

Common mistakes to avoid
- Making the packet too long. Anything over 4 pages gets skimmed, not read. Cut ruthlessly. If a section does not answer a question new members actually ask, delete it.
- Using stock photos of strangers. New members want to see the actual space and the actual staff. Stock photos build distrust. Use real photos even if they are not perfect.
- Forgetting the FITT Finder review prompt. The FAQ section is the right place to ask for a public review. Members who read the FAQ are engaged. Ask them to leave a review on FITT Finder, Google, or Yelp within their first 30 days.
- Not updating the packet when policies change. If you change your cancellation window from 4 hours to 8 hours, update the packet the same day. Outdated packets cause more confusion than no packet at all.
- Handing the packet out only at signup. Hand it out at signup, post it on the wall in the lobby, and email a PDF version 24 hours after signup. Members lose paper. Multiple touch points get the information through.

Frequently asked questions
Should I print the packet or email it?+
Both. Hand a printed copy at signup, and email a PDF 24 hours later. The printed copy gets read in the first 5 minutes. The email copy gets searched later when members forget a detail.
How often should I update the packet?+
Review every 6 months. Update immediately when any policy changes (cancellation window, pricing, parking, shoe policy). Outdated packets cause more problems than no packet at all.
What size should the packet be?+
4 pages total. Either one 11x17 sheet folded in half or two 8.5x11 sheets double-sided. Anything longer does not get read. Anything shorter does not cover the FAQ adequately.
Should the packet include pricing?+
No. Pricing goes on a separate rate sheet that updates more frequently. The packet should last 12 to 18 months without revision. Pricing changes quarterly. Keep them separate.
Can I use this template for a yoga studio?+
Yes. The 8 sections work for yoga, Pilates, HIIT, cycling, barre, and strength. Swap the specific rules (shoe policy, scent policy) to match your vertical.
